.1 Host and visiting teams will submit their entries for all EFSL sanctioned meets on Swimcloud in accordance with the timeline stated in the meet announcement. Late entries will not be accepted. Host teams that do not submit their entries on Swimcloud by the entry deadline will be fined $100.
.2 Once the entries process has started, no coach or team representative from any team will be allowed to examine, handle, or compare the entries, including the host team, until the meet is seeded and heat sheets are published by the Administrative Official. Host teams found modifying their entries after the entry deadline will be fined $250.

Running the Meet on Swimloud

Swimcloud has a basic list of infractions to select from. However, there are no codes since those are specific to USA Swimming and Hy-tek. What really matters is the actual infraction.
If an infraction is not listed in dropdown menu, select other and add a comment with the infraction listed in our EFSL DQ Infractions list.
Split events will be built by stroke/distance, but will be age agnostic.
Example: If you have four (4) individual events (#1 12&U Girls 100 Free, #2 12&U Boys 100 Free, #3 13&O Girls 100 Free, and #4 13&O Boys 100 Free) and are capturing 50 splits, the split times from all four (4) events would go under Event 200 (Open Mixed 50 Free).
Create a separate session and add "Splits" to the name (e.g., Session 2 - Splits).
Use event numbers 200-299.
Mark all split events as "Non-scoring event"
*The EFSL AO will send out an email to all participating teams when the meet is locked and results are ready for download.*
Once you have completed your meet and loaded your split times (if taken), send an email to the EFSL AO using the email function from your meet page. Inlcude any notes about heat malfunctions (include Event and Heat) and anything else you would like to discuss and have reviewed.
In the sample below, the sections with a yellow highlight are the inserted Mail merge items. The {First Name} will insert the first name of the person your are emailing. When you have multiple recipients, each email will be individualized with the first name of each recipient. {Team Name} will insert your team name and {Meet Link} will insert the meet name and make it a hyperlink that goes directly to the meets home page.
It is highly recommended to create a canned message (template) using Mail merge items to speed up the process.
First, compose your email. Then Click “Save Template”.
When the text box appears, give your template a title. When you are finished, click the OK button.
To access your saved templates, click on the “Load Template” button:
The text box will appear. Click on the drop-down list to see and select the template you wish to use. After making your selection, click on the OK button.
Once your email is composed, and you are ready to send.
